What is the Insurance Analyst's Workload tracker report (COI Log)?

This guide shows insurance analysts how to download a workload tracker report that summarizes Certificate of Insurance (COI) activity for projects where they are listed in Project Contacts and explains the different fields in the report.

Report Scope

  • Data source: COI Log

  • Projects included: Only projects where the selected user is added to Project Contacts

  • User filter: The report supports filtering by user to view metrics and COI requests assigned to that user

Report Metrics (Header)
The report header includes summary metrics for the selected user:

  • Open Reviews: Total number of COI requests in Pending status

  • Approved: Total number of COI requests approved

  • Conditional Approval: Not applicable

  • Declined / Rejected: Total number of COI requests rejected

  • Review Over 30 Days Pending: Number of COI requests in Pending status for more than 30 days

Report Columns (Detail Rows)
Each row represents a COI request. The report includes the following fields:

  • Proj. No.: Project number

  • Proj. Name: Project name

  • Subcontractor: Subcontractor name

  • COI Type: Type of COI requested

  • Contract Type: Contract number (from the Insurance Request table)

  • Status: Insurance request status

  • Days Pending: For Pending requests only. Calculated as Today’s date minus the date the COI request was sent

  • Days from Last Response: Days since the last response on the request

  • Received: Date the COI was received

  • First Response Sent: Date the first response was sent

  • Date of Last Response: Date of the most recent response

  • Approved Date: Date the COI request was approved

  • Note: Notes on the COI request

  • Attachments: Any files attached to the COI request

How to Generate and Download the Report

  1. Navigate to the COIs module and to the Reports sub tab.

  2. Apply the User filter:

    • Select the user to view only projects where the user is in Project Contacts.

    • Download:

      • Click on the "Workload tracker" link to export and download the report to excel (xlsx)


Troubleshooting

  • Missing projects or requests: Confirm the user is listed in Project Contacts for the relevant project.

  • Incorrect counts: Re-apply the User filter and refresh the COI Log.

  • Days Pending not showing: This field populates only for requests in Pending status.
